Ok, I'm sorry for being rude. I was serious when I said I don't think I'm qualified. However one of my brothers was an events coordinator for some surf and clothing companies so I will ask him if he can give me some basic ideas. My suggestion about the trash come from when I was a boy our family went to these large religious conventions and they would always make an announcement about picking up all your trash. They also suggested to the tip hotel/motel maid $1 a day and be mindful of tipping the servers at restaraunts when appropriate. On the hotel/motel thing they said it was a good idea to put the money in an envelope or somehow place it so that it had a label that said it was for the maid, otherwise they might think it was money you forgot and they might turn it in. They also said that because different maids might work on different days it's a good idea to leave the $1 every day instead of at the end or the one who cleans up at the end might think all the money was for them. If it's Roy's place that might not be a problem because people can just ask Roy who's doing cleanup what day.

Other things off the top of my head would be to have enough water on hand and to make sure there is enough bathrooms. Also to have some sort of plan for where people are to park.

I am not sure I will be able to go. I definately want to but it depends on if I can get the time off from work. Where I work vacations go by seniority so if too many people ask for the same weeks some people will get bumped. I will let you know as soon as I find out whether I can go or not. If I can go I will volunteer for trash pickup or some other thing, whatever is needed.

One other thing for people to be aware of is that the T&C(or whatever it's called now) across the street from the Outback, this year was cleaning up the coffee machine and fryer way early, like 6 or 7pm and they would not make you coffee after that. The owner said they are supposed to keep those things going until 9 or 10pm so the problem may have been fixed by now. If not, I know alot of people like to get a thermos full of coffee right before they head out and the event might be able to make some money selling coffee or espresso if it can be done at around 8 or 9pm.
