My invoices are purely text based. No photos at all, but I do list all of the important information that the recipient will need to know.
I also send along a "Genetic Guarantee" this documentation does have photos on it. On this I include pictures and identification numbers of both parents as well as pictures and identification numbers of the animal being sold. I then outline the genetics of the animal (whether recessive, co-dom, etc), what this means, and the terms of the guarantee. I make sure that there is enough information for the buyer to know exactly what the animal has the potential to produce, what the terms of the guarantee entail as far as my return policy, how they need to go about documenting their breeding efforts.
This paperwork is also made up in such a way that if the buyer ever decides to sell the animal they will be able to show a potential buyer that the animal was sold to them as exactly what they are advertising it as.
Everything has my original water mark on it, is signed by me and also laminated. I know that these measures are fool proof and won't completely ensure that no one forges or alters anything, but it will make it more difficult. I also include my full contact information, the buyers full name and contact information and the date of purchase. This way hopefully people will be able to better track the snake's past and if needed people can contact me with any questions they may have.
All paperwork that I send out is saved on my computer and I print out a physical copy to be stored elsewhere.
Perhaps everything I do is a bit of "over kill" for some people, but in an industry where your reputation is everything and at times it is only as good as your last sale/trade/deal, I'd rather have as many bases covered as possible. ----- . . . . Stay United!
